Email Settings

Control how your emails look to clients — set a reply-to address so they can reach you directly, or send emails from your own domain for a fully branded experience.

Where to Find It

  1. Click Settings in the sidebar
  2. Click Email

Only account owners (Super Admins) can change email settings.

Reply-To Email

By default, when clients reply to your booking confirmations or reminders, their reply goes nowhere. Setting a reply-to email means their replies land in your inbox.

This works with any email address — Gmail, Outlook, Yahoo, or your own domain.

Enter Your Email

Type in the email address where you want client replies to go (e.g., you@gmail.com).

Click Save & Verify

A verification email is sent to that address to confirm you own it.

Check Your Inbox

Open the verification email and click the confirmation link. You will be redirected back to PT Suite with a success message.

If you did not receive the verification email, click the Resend button next to the pending notice.

Check your spam or junk folder if you do not see the verification email.

Send From Your Own Domain

Want emails to come from you@yourbusiness.com instead of the PT Suite address? This makes your emails look more professional and builds trust with clients.

Requirements:

  • You need a custom domain you own (e.g., yourbusiness.com)
  • Free email providers like Gmail, Outlook, and Yahoo cannot be used for this
  • You need access to your domain’s DNS settings

Enter Your Email Address

Type the email address you want to send from (e.g., hello@yourbusiness.com).

Click Set Up

PT Suite registers your domain and shows you DNS records to add.

Add DNS Records to Your Domain

Log in to your domain registrar (GoDaddy, Namecheap, Cloudflare, etc.) and add the DNS records shown on screen. You can click the copy button next to each value to copy it exactly.

The records usually include TXT and CNAME entries that prove you own the domain.

Click Verify DNS

After adding the records, come back to PT Suite and click Verify DNS. DNS changes typically take 5 to 30 minutes to take effect.

DNS Setup Tips

  • Log in to your domain registrar (where you bought your domain)
  • Find the DNS settings or DNS management page
  • Add each record exactly as shown in PT Suite
  • Wait 5 to 30 minutes, then click Verify DNS
  • If verification fails, double-check the records for typos

DNS changes can sometimes take up to 48 hours. If verification fails right away, wait a bit and try again.

Removing a Custom Domain

If you want to stop sending from your custom address:

  1. Click the trash icon next to your verified domain
  2. Confirm the removal

Your reply-to email is kept even if you remove your custom domain. Emails will go back to sending from the default PT Suite address.

Common Questions

Can I use both reply-to and a custom domain?

Yes. Set your reply-to email first (quick and easy), then add a custom domain later if you want. They work together.

Do I need a custom domain?

No. The reply-to email is enough for most trainers. A custom domain is a nice-to-have for a fully branded experience.

My clients say emails go to spam

Adding a custom domain with proper DNS records improves email delivery. If you are using the default PT Suite address, ask clients to add it to their contacts.
