Book a Session for a Client
You can book sessions on behalf of your clients directly from the admin panel. This is useful for phone bookings, walk-ins, or when a client asks you to schedule their next session.
Where to Find It
- Click Bookings in the sidebar
- Click the New Session button (or click on an empty time slot in the calendar view)
Booking a 1:1 Session
Search for the Client
Start typing the client’s name or email in the Client search box. Select them from the dropdown.
If the client is not in your system yet, add them first from the Clients page.
Choose a Session Type
Pick the type of session from the dropdown (e.g., “1-on-1 PT”, “Online Coaching”). The price and duration fill in automatically based on your session type settings.
Pick the Date and Time
Select the date and start time for the session. The default is set to tomorrow at 9:00 AM, but you can change it to any date and time.
Choose Online or In-Person
Select whether the session will be in-person or online.
Adjust Price if Needed
The price from your session type fills in automatically. You can change it for this specific booking if needed (for example, a discounted rate or a free session).
Add Notes (Optional)
Add any notes about the session — these are visible to you and your team.
Click Create Booking
Review the details and click Create Booking to confirm.
The client receives a booking confirmation email automatically.
What Sessions Can You Book?

Calendar vs List View
You can book sessions from either view:
- Calendar view — Click on an empty time slot to open the booking form with that date and time pre-filled
- List view — Click the New Session button at the top of the page
After Booking
Once you create a booking:
- The session appears on your calendar and in the bookings list
- The client gets a confirmation email
- The booking shows as Confirmed status
- It shows as an admin booking (so you know it was booked by you, not the client)
Tips
Quick rebooking: After completing a session, book the client’s next session right away while you are both there. This helps keep your calendar full and your clients consistent.
- Make sure the client exists in your system before booking
- Double-check the date and time to avoid scheduling conflicts
- Add notes about the session focus so you remember when the day comes
- If the client has a package, the session can be deducted from their credits
