What the Numbers Mean

Active vs Total Clients

  • Total Clients: Everyone who has ever booked with you
  • Active Clients: Those who booked in the last 30 days

A healthy ratio suggests good client retention. If active clients are much lower than total, consider reaching out to past clients.

Completion Rate

This percentage shows sessions actually completed vs scheduled:

Good: 90%+ completion rate Needs attention: Below 80% - review cancellation patterns

Low completion rates might indicate:

  • Cancellation policy may need adjusting
  • Session times might not suit clients
  • Follow-up reminders might help

Pending Reviews

This shows how many PAR-Q health forms need your review. Clear these before training new clients to ensure safety.

Using Stats to Grow

Weekly Review

Check these each week:

  1. Compare this week’s bookings to last week
  2. Note any patterns in cancellations
  3. Identify your busiest days/times

Monthly Review

At month end, look at:

  1. Total sessions delivered
  2. New client growth
  3. Revenue trends
  4. Client retention (active vs churned)

Tips for Better Tracking

  • Mark sessions correctly - Use Complete, Cancelled, or No-Show status for accurate stats
  • Keep client records current - Accurate data means accurate insights
  • Review regularly - Stats are only useful if you act on them
