Managing Clients

Keep all your client information organised in one place. Track health forms, session history, package balances, and notes for every client.

Accessing Client Management

  1. Log in to your admin panel
  2. Click Clients in the sidebar
  3. View your full client list

Client Overview

Your client list shows:

PAR-Q Status Indicators

The PAR-Q (Physical Activity Readiness Questionnaire) status shows:

Not CompletedClient hasn’t filled out the formSend reminder
Pending ReviewForm submitted, needs your reviewReview before training
ReviewedYou’ve reviewed and approvedReady to train
ExpiredOver 12 months oldClient needs to update

Important: Always review PAR-Q responses before training new clients. This protects both you and your client.

Quick Actions

From the client list, you can:

  • Search - Find clients by name or email
  • Filter - View by status (Active, Inactive, Archived)
  • Sort - Order by name, last session, or status
  • Export - Download client data as CSV

Client Profile Overview

Click any client to view their full profile:

  • Contact Details - Name, email, phone
  • Health Information - PAR-Q responses and considerations
  • Booking History - All past and upcoming sessions
  • Session Packages - Active packages and credits remaining
  • Notes - Your private notes about the client

Regular Review

  • Check PAR-Q status for all active clients monthly
  • Follow up with inactive clients periodically
  • Keep notes updated after each session

Data Hygiene

  • Archive clients who no longer train with you
  • Keep contact information current
  • Remove test or duplicate accounts

Privacy

  • Client data is private and secure
  • Only you and your team can access it
  • PAR-Q responses contain sensitive health information
