Viewing & Managing Bookings

Your bookings section shows all client appointments - past, present, and future.

Accessing Bookings

  1. Log in to your admin panel
  2. Click Bookings in the sidebar
  3. View your schedule

Calendar View

The calendar shows your bookings visually:

  • Day View - Detailed view of a single day
  • Week View - See your whole week at a glance
  • Month View - Overview of the entire month

Click on any date to see that day’s bookings in detail.

List View

The list view shows bookings as a filterable table:

Filtering Bookings

Find specific bookings using filters:

By Date

  • Today - Just today’s sessions
  • This Week - Current week
  • This Month - Current month
  • Custom Range - Select specific dates

By Status

  • All - Everything
  • Confirmed - Upcoming confirmed bookings
  • Pending - Need attention
  • Completed - Past sessions
  • Cancelled - Cancelled bookings

By Session Type

Filter by specific session types you offer.

By Client

Search for a specific client’s bookings.

Viewing Booking Details

Click any booking to see:

  • Client Information - Name, contact, profile link
  • Session Details - Type, duration, location
  • Booking Time - When they booked
  • Payment Status - How they paid (package or individual)
  • Notes - Any notes attached

Managing Bookings

Confirming a Pending Booking

If a booking is pending:

  1. Open the booking
  2. Review the details
  3. Click Confirm
  4. Client receives confirmation email

Marking as Complete

After a session:

  1. Open the booking
  2. Click Mark Complete
  3. Add session notes (optional)
  4. Save

Tip: Mark sessions complete right after they finish, while details are fresh.

Marking as No-Show

If a client doesn’t attend:

  1. Open the booking
  2. Click No-Show
  3. Confirm

No-show handling depends on your settings:

  • Package credits may or may not be deducted
  • Client may receive automatic notification

Cancelling a Booking

To cancel a booking:

  1. Open the booking
  2. Click Cancel
  3. Select a reason
  4. Choose whether to notify client
  5. Confirm

Cancellation refunds follow your cancellation policy settings.

Adding Notes

Add notes to any booking:

  1. Open the booking
  2. Find the Notes section
  3. Click Add Note
  4. Type your note
  5. Save

Notes are visible to you but not the client.

Creating Manual Bookings

To book a session for a client:

Click Add Booking

Find the + or Add Booking button.

Select Client

Choose from your client list or add a new client.

Choose Session Type

Pick the type of session.

Pick Date & Time

Select an available slot.

Confirm Details

Review and confirm the booking.

Recurring Bookings

For clients with regular slots:

  1. Create the first booking
  2. Check Make Recurring
  3. Set frequency (weekly, fortnightly)
  4. Set end date (or number of sessions)
  5. All bookings are created

Syncing with Your Calendar

Export bookings to external calendars:

  • Google Calendar
  • Apple Calendar
  • Outlook

Find the calendar sync option in Settings → Integrations.

Bulk Actions

Select multiple bookings to:

  • Mark all as complete
  • Export to CSV
  • Send bulk notification
