Inviting Clients

You can invite clients to join your platform before they book their first session. This is great for onboarding new clients or moving existing clients from another system.

How It Works

When you add a client and send them an invite, they receive an email with a link to set up their account. Once they complete their profile, they can log in, view their bookings, and book sessions on your website.

Inviting a New Client

Go to the Clients Page

Click Clients in the sidebar to open your client list.

Add the Client

Click the Add Client or + button. Enter their name and email address (phone number is optional).

Save the Client

Click Save to create their profile.

Send the Invite

On the client’s profile, click Send Invite. They will receive a welcome email with a link to complete their account setup.

What the Client Receives

The invite email includes:

  • Your business name
  • A link to set their password and log in
  • How to book sessions with you
  • Your contact information

You can customise this email in Settings > Email Templates.

Client Account Claiming

When you create a client account, here is what happens next:

  1. You create their profile with their name and email
  2. They receive an invite with a link to claim their account
  3. They set a password and complete any missing profile details
  4. They are ready to go — they can log in, view bookings, and book new sessions

Clients do not need to claim their account for you to book sessions for them. You can book on their behalf at any time.

When to Invite Clients

  • New clients — Send an invite before their first session so they can fill out their health form (PAR-Q) in advance
  • Existing clients — When moving from another booking system, add them and send invites so they can start booking online
  • Referrals — When someone is referred to you, add them and send an invite to get them started
  • Corporate groups — When onboarding a team, add everyone and send invites in bulk

Best Practices

Before Sending Invites

  • Spell names correctly — The name you enter shows up in their emails and account
  • Use their real email — The invite goes to this address, so make sure it is correct
  • Add phone numbers — Not required, but useful for session reminders

Timing Your Invites

  • Send invites a few days before their first session
  • This gives them time to set up their account and complete the health form
  • Avoid sending invites too far in advance — they might forget about it

Following Up

  • If a client has not claimed their account after a few days, follow up with a quick message
  • You can resend the invite from their profile page
  • Some clients may need a gentle reminder to check their email

Multiple Clients

Moving from another system? Contact support for bulk import options. You can prepare a CSV file with client names and emails, and the team will help you import everyone at once.

Common Questions

What if a client does not get the invite?

Ask them to check their spam or junk folder. You can also resend the invite from their profile page.

Can clients book without claiming their account?

They need to set a password to book online themselves. However, you can always book sessions for them from your admin panel.

What happens if I enter the wrong email?

Update their email on their profile page and resend the invite. The old invite link will no longer work.
